PARTY OBLIGATIONS: 

 

It is the responsibility of the Party Booker and guests to ensure they arrive 10 minutes before the commencement of the party at the date and time stated on the booking confirmation. This is to ensure there is sufficient time to allow for registration and safety briefings.

 

 

PARTY FOOD & AREA

The party area shall be reserved for (insert duration) hours. 

It is the responsibility of the Party Booker to provide food, drink, cake and party bags (unless party bags have been selected as a paid for add-on). Any allergies of your guests are the responsibility of the Party Booker to be aware of and to cater for. We are a NUT FREE SITE and therefore no nuts are to be served or brought to the event. We are happy to provide water and squash throughout the event.

Any decorations the Party Booker wishes to supply for the party are subject to the approval of the Nature Bugs host at the time. Only string is permitted to be used to secure any decorations which must be nature safe and flame retardant. Any decorations brought onto site by the Party Booker must be removed by the Party Booker at the end of the session and taken off site.

The site must be vacated promptly at the end of the booked time.

CANCELLATION POLICY

A non-refundable deposit of £100 is required to secure the preferred date and time for the party. This is used to secure the hire of the site and purchase materials, neither of which are refundable to us if the party is cancelled. By paying this, the Party Booker is accepting all of the Terms and Conditions associated with the Party Booking.

Final numbers are to be confirmed no later than 16 days before the party date and a final invoice for the balance will then be issued and full balance payable 14 days before the party date. If this is not paid, Nature Bugs reserve the right to cancel the party. Any additional party guests after this time will be at the discretion of the Nature Bugs party host and chargeable immediately. Once the balance has been paid 14 days prior to the party date, it is non-refundable due to staff hire and advance preparation.

ADVERSE WEATHER

It is advised to be aware of the weather forecast and dress the children accordingly – all parties are held outside. There is shelter on site but some activities will remain exposed and therefore it is the responsibility of the Party Booker to ensure that all guests and caregivers are protected appropriately.

If the weather is extremely bad and it becomes unsafe to be onsite, Nature Bugs reserve the right to cancel a party booking. We will do our utmost to reschedule the party to an alternative time or date and if this cannot be achieved, a full refund will be provided if we have cancelled the party. This decision will not be made lightly and will be final. Only a Forest School L3 trained Nature Bugs host will make this decision, if the Party Booker decides to cancel due to inclement weather or conditions, no refund will be given.

GUEST BEHAVIOUR

Guests remain the responsibility of the Party booker at all times whilst on the premises and  grounds. Please ensure guests arrive and depart quietly and peacefully ensuring no disturbance to local residents.

Nature Bugs reserves the right to stop the party at any time due to inappropriate behaviour.

Nature Bugs and Bentley Heath Primary School will not under any circumstances accept or be liable in respect of any damage to or loss of any goods, articles or property of any kind brought into or left at the venue. Any person choosing to park on site does so at their own risk and must drive carefully. VEHICLES ARE LEFT IN THE CAR PARK AT THE OWNERS RISK, Nature Bugs hosts and Bentley Heath Primary School accept no liability for loss or damage caused to any vehicle or its contents in the car park. Car parking spaces on site cannot be guaranteed.

 

PARTY PAYMENTS

You may choose to either pay in full at the time of booking or secure your party with a £100 non-refundable deposit.

For all parties, the full balance must be paid no later than 14 days before the party starts. Once within the time period of 14 days prior to party commencement, the full balance becomes non-refundable.

Paying in Full

If you choose to pay in full, payment will be taken at the time of booking.
If you later wish to make changes to your party package (for example, additional children or optional extras), these can be arranged up to 14 days prior to the party. Any price difference will be added or adjusted accordingly.

Our  team will contact you around 16 days before the party to confirm details and make any amendments. Changes can also be requested by contacting your Nature Bugs host directly.

UNFORSEEN CIRCUMSTANCES

Nature Bugs reserve the right to cancel an event booking. We will do our upmost to reschedule the party to an alternative time or date and if this cannot be achieved, a full refund will be provided if we have cancelled the party.

In the event that we are forced to make a cancellation due to a 'force majeure", an event beyond our reasonable control, including but not limited to acts of God, natural disasters, war, terrorism, pandemics, or power failures, we will automatically refund any monies which are held and are not required to fulfil our own obligations (eg site hire and payment for supplies). This will be done within 14 days of the cancellation unless impossible due to hospitalisation, illness, injury or death. 

CUSTOMER ITEMS AND DECORATIONS

External decorations and items may be brought in to dress the area only in consultation and agreement with your Nature Bugs host.

Nature Bugs accepts no responsibility for the loss, damage, or theft of any such items.

All decorations and items must be removed at the end of the event. Any items left behind may be disposed of.

All decorations must be fire retardant, eco-safe and sympathetic to the Conservation Area.

ALLERGIES AND MEDICAL CONDITIONS 

It is the responsibility of the Party Booker to inform the Nature Bugs host of any and all allergies and medical conditions of party attendees and caregivers.

 

FIRE SAFETY

If the Party Booker chooses to have a fire as an add on, all guests are the responsibility of their caregivers and ultimately of the Party Booker. If guests do not follow the instructions of the Nature Bugs host, the fire will be extinguished for the safety of all and will not be restarted. No refund will be given.

Should guests attend in fancy dress, these costumes MUST be removable (with an appropriate layer of clothing underneath) and taken off prior to the lighting of the fire. This is for the safety of all guests due to the highly flammable nature of fancy dress costumes.

 

ALL GUESTS REMAIN THE RESPONSIBILITY OF THEIR CAREGIVER (AND ULTIMATELY THE PARTY BOOKER) FOR THE DURATION OF THEIR TIME ON SITE
